The General page is used to enter information about a new badgeholder or to call up one or multiple existing records by means of a query, using the query-by-example method. The entire badge record is available using the page buttons. Provision is available for identifying badgeholders by one or multiple methods, for example, driver's license, social security number, citizenship, etc. The Employee Designator field is available for an installation's internal method of identification. The badge number identifies the physical badge that is issued. It is distinct from card number (on the Security page), an identifying number encoded on the card (magnetic stripe, proximity and/or bar code). Each Badge Type is associated with certain permissible Department and Contractor identifiers (in the Association box). A variety of integrity checks (some general and some regulatory-specific) are applied to the information entered on the General and Security pages. For example, a social-security number must be within a certain numeric range; and some installations may permit certain badge types only for US citizens. Unchecking the Use Default box (to the left of the photograph) permits entry of an alternative identifier if a badgeholder prefers a nickname, e.g., Gus Grissom instead of Virgil Ivan Grissom. The Security page provides information/control concerning the extent of access privileges. Access codes provide a flexible means of designating access privileges. An additional timed access code is provided, e.g., for a badgeholder who has a non-routine assignment in a sensitive area, or access based upon safety training that requires periodic renewal. Activation and expiration dates control the overall timing limitations on the validity of the badge. If a badge is forgotten at home, a temporary visitor badge is issued and a Deny Access interval is entered for the permanent badge, preventing it from being used while the visitor badge is in force. Special Privileges may be designated to alter the format of the badge (e.g., red stripes for emergency personnel). The Flags box may be used to temporarily or permanently render a badge inoperative for administrative reasons. The PIN code designates the keypad entry to be made following a card read. Security Clearances are used by some installations doing government work. Card number (at the top of the page) is a number encoded on the badge for identification purposes. The Reissue button provides a mechanism to set up and explain badge reissuance, i.e., replacement of a previously printed badge. For installations that retain the same badge number in such circumstances, the issue level (encoded on the badge) is incremented. Note: Access to and visibility of data fields are determined by operator privilege. For purposes of this data sheet all data fields are shown |

The Photo page provides information, data collection and administrative functions pertaining to photograph, signature and badge encoding. When a person is first entered in the system, the Capture Image button (below photo) is used to take a photograph, which is stored in the database. The Modify Image button may be used to increase/decrease contrast or brightness, etc. The Load button is used by some installations to load images from predecessor or alternate databases. Capture Signature (to left of photo) is similarly used to enable a signature pad and store the signature in the database. The Preview button displays the badge as it will appear when printed, and the Print Button initiates badge printing. The encoding on a newly or previously printed badge may be verified by pressing the Proximity or Magnetic Stripe buttons and passing the card near a proximity reader or through a keyboard magnetic stripe reader. Provision is available for an analogous Bar Code button. If a particular installation has hardware for doing magnetic stripe encoding on an already-existing badge, the Encode Magnetic Stripe button may be used. The Badge Annotation (top left) can be used for additional pertinent information. Typically it contains the name of the business or department for which the badgeholder works. Note: Access to and visibility of data fields are determined by operator privilege. For purposes of this data sheet all data fields are shown. |

The Audit page provides information pertaining to creation, modification, printing and use of badges. Operator, time/date and station are recorded for creation of the record for the badgeholder and for the most recent modification, e.g., if the badgeholder's access codes or name have changed. This information is also recorded for the most recent badge printing. If this was not the first printing, then the reissue explanation is provided. Photograph and signature capture dates are also given. The last three access attempts by this badgeholder (through doors, turnstiles, etc.) are listed. Operator comments may be entered for storage in the database, e.g., that the badgeholder speaks only a particular language, or has requested Security awareness of a medical condition. Finally, since some badgeholders may have held both permanent and visitor badges at various times, the types of records in the database are noted. Note: Access to and visibility of data fields are determined by operator privilege. For purposes of this data sheet all data fields are shown. |
